What is Batch Header Tickets as it relates to standard process control for banks

Batch header tickets are a standard process control document used in banks to help ensure the accuracy and completeness of batch processing. Batch processing is a method of processing data in groups, or batches, rather than individually. This can be more efficient for large volumes of data, but it is important to have controls in place to ensure that all of the data is processed correctly.

 

Batch header tickets contain information about the batch of items being processed, such as:

  • Batch number
  • Date
  • Time
  • Batch type
  • Number of items in the batch
  • The total dollar amount of the batch
  • The originator of the batch
  • Destination of the batch

The batch header ticket is typically placed at the beginning of the batch of items being processed. This allows bank personnel to quickly and easily identify the batch and its contents. It also provides a record of the batch for audit purposes.

Here is an example of how batch header tickets might be used in a bank's check processing process:

  1. A teller receives a deposit of checks from a customer. The teller counts the checks and enters the total dollar amount of the deposit into the bank's computer system. The teller then prints a batch header ticket for the deposit.
  2. The batch header ticket is attached to the bundle of checks and placed in the bank's check processing department.
  3. A check processing clerk sorts the checks by bank routing number. The clerk then places the checks into batches of 100 checks each.
  4. The clerk prints a batch header ticket for each batch of checks.
  5. The batch header tickets and batches of checks are then processed by the bank's check processing system.
  6. The check processing system scans the checks and verifies the account information and signatures. The system also totals the dollar amount of each batch of checks.
  7. The system then compares the total dollar amount of each batch of checks to the total dollar amount listed on the batch header ticket. If the two amounts match, the batch is considered to be balanced. If the two amounts do not match, the batch is considered to be unbalanced.
  8. If a batch is unbalanced, the check processing system will generate an error report. The clerk will then review the error report and take steps to correct the error.
  9. Once all of the batches are balanced, the check processing system will update the bank's computer system with the deposit information. The bank will then post the deposits to the customers' accounts.
